QuickBooks Online Sync Page Settings

Overview
Biller Genie provides configurable settings that allow you to control how your account syncs with QuickBooks Online.
To access these settings, log in to your Biller Genie account and go to Add-Ons > QuickBooks Online. From this page, you can review your connection status, manually run syncs, and adjust sync behavior.
Sync Status
At the top of the QuickBooks Online page, you will see real-time connection information:
- Whether your QuickBooks Online company is currently connected
- A Disconnect from QuickBooks button
- A Sync button to manually initiate a sync
- The date and time of the last sync
- The last sync result (Successful or Failed)
Use this section to confirm that your integration is active and syncing as expected.
Sync Settings
Automatic Syncing
Webhooks Auto Sync controls whether QuickBooks Online automatically notifies Biller Genie when changes occur. Set to Yes (recommended) for real-time updates. Set to No if you prefer to initiate syncs manually.
Because QuickBooks Online supports webhooks, enabling this setting provides faster and more seamless synchronization without requiring manual intervals.
Sync History & Notifications
Last Successful Sync Notification sets how many days can pass without a successful sync before Biller Genie sends a notification. Use this to stay informed if syncing stops due to revoked permissions, an expired authorization token, or an account disconnection.
Display & Commodity Settings
Display Line Item Groups (Bundles) controls how grouped or bundled items from QuickBooks Online appear in Biller Genie. Set to Yes to display individual item details, or No to display only the group name. Choose the option that best fits your customer-facing invoice layout.
Default Commodity Code sets a default commodity code applied automatically when applicable. Only configure this if your business uses commodity codes.
Additional Settings
Sync CC Emails to QuickBooks controls whether email addresses stored in Biller Genie are synced to the Primary Email field of the customer record in QuickBooks Online. Set to Yes to allow Biller Genie to update the customer's primary email address in QuickBooks. Set to No to leave the QuickBooks customer record unchanged.
Note: This setting updates the customer's primary email address in QuickBooks, not just invoice-level CC recipients.
Custom Transaction Numbers controls whether QuickBooks Online pushes its custom invoice numbers into Biller Genie. Set to Yes to use QuickBooks transaction numbers in Biller Genie. Set to No to follow QuickBooks auto-generate transaction numbers. If your organization requires invoice number consistency across both systems, this setting should remain enabled.
Invoice PO Number Field allows you to select which QuickBooks Online item should populate the PO field on Biller Genie invoices. Use the dropdown to choose the item that should be referenced when a PO number is included.
Item Mapping
Warning!
Ensure any empty mapping fields are corrected, otherwise associated items will not sync back to QuickBooks.
Item Mapping allows you to connect Biller Genie system items to existing items in QuickBooks Online. Common examples include late fees, technology fees, and surcharges.
Keep the following in mind when mapping items:
- Only items with associated income accounts will appear as options.
- Items that are already mapped cannot be remapped.
