Migrating from QuickBooks Desktop to QuickBooks Online

Overview
When you are ready to move to QuickBooks Online, you can bring your existing Biller Genie account with you. The steps below must be completed in order to avoid data loss or the need to create a new Biller Genie account.
If you have not created your QuickBooks Online account yet, create one here before continuing.
Before starting:
Confirm that your QuickBooks Desktop file is fully synced with Biller Genie and your last sync date is current. Any data already in your QuickBooks Online account, including customers, items, and invoices, will be overwritten by the data transferred from QuickBooks Desktop. Start with a blank QuickBooks Online account, or back up any data you need to keep.
This migration is completed in two parts:
- Part A: Migrating your company file from QuickBooks Desktop to QuickBooks Online
- Part B: Connecting Biller Genie to your new QuickBooks Online account
Part A
Migrating from QuickBooks Desktop to QuickBooks Online
Note:
Not all versions of QuickBooks Desktop include the built-in export option. If you do not see the export option in the steps below, contact Intuit QuickBooks support and ask to speak with a migration specialist. They can assist with moving your company file to QuickBooks Online.
- In your Biller Genie account, run a final sync with QuickBooks Desktop. This ensures all data is fully up to date before the migration begins.
- In QuickBooks Desktop, go to Company > Export your Company File to QuickBooks Online.
- Click Get Started.
- Select one of the available options — either "Bring all your company data" or "Choose what to bring over" — then click Continue.
- Your QuickBooks Online account will be displayed. Click Export.
- Wait for the import process to complete.
- Check your inbox for a confirmation email from do_not_reply@intuit.com. Click the "Complete your setup" link in the email.
- The link will take you to your QuickBooks Online account and show the final status of the migration. This completes Part A.
Part B
Connecting Biller Genie to QuickBooks Online
Warning!
Before continuing: turn off Invoice Messenger and Reminders in Biller Genie before connecting. Once the sync is complete, you can turn them back on. This prevents unnecessary notifications from being sent on older invoices that sync over during the process.
Step 1: Unlink MagicCarpet
Before removing the QuickBooks Desktop add-on in Biller Genie, you must first disconnect and unlink MagicCarpet.
- Open the MagicCarpet application.
- Click the three dots next to your connection and select Disconnect from QuickBooks.
- Confirm the disconnection.
- Click the three dots again and select Unlink Account.
- Confirm. MagicCarpet should now be empty and the unique code will be returned to the QuickBooks Desktop add-on in Biller Genie.
- In your Biller Genie account, go to Add-ons Marketplace.
- Click the Accounting Software category or search for "QuickBooks."
- Click the QuickBooks Desktop MagicCarpet tile.
- Click Uninstall, then confirm by clicking Uninstall again.
Step 3: Install and connect QuickBooks Online
- In the Marketplace, click the Accounting Software category or search for "QuickBooks." Click the QuickBooks Online tile.
- Click Install.
- Click Connect to QuickBooks.
- Read the QuickBooks Desktop to Online migration warning, check the box to confirm, then click Continue to Connect.
- Sign in with your Intuit or QuickBooks Online credentials.
- Click the company dropdown and select your recently migrated company file. Click Next.
- Click Connect to grant Biller Genie access to QuickBooks.
- You will be returned to your Biller Genie account and a sync will begin. Once complete, you will see a status of Successful. Your Biller Genie account is now connected to QuickBooks Online.
After the sync completes:
• Stay on the same page
• Check the Last Sync Result field
Review and confirm a “Sync Ended Successfully” message.
