Configure General Settings

Walk through every field on the Control Panel > Settings page in Biller Genie: Merchant Email, Invoice Email, Notifications, Terms & Conditions, Chrome Extension, and where related settings live elsewhere.

Your Control Panel > Settings page is where you set the account-level defaults that apply everywhere in Biller Genie — who receives merchant notifications, which automated emails go out, the Terms & Conditions your customers agree to, and whether the Chrome Extension is enabled. This article walks through every field on the page, what it controls, and the small gotchas that catch people on each one.

To open the page, click Control Panel from the main menu, then Settings. You'll need a user with the SuperUser or Settings Manager role — see Managing Users in Biller Genie.

Merchant Email

The email address (or addresses) that receive your merchant copy of sales receipts and any customer-driven notifications — for example, when a customer updates a stored payment method or a card on file expires. This is also the address that gets the Auto-Pay Failure alert and the Sync Failure alert when those toggles are enabled below.

Multiple recipients: you can enter more than one address here. Separate them with a comma or a semicolon — for example, accounting@yourcompany.com, owner@yourcompany.com. Every email on the list receives every notification this page triggers. There's no way to send some notifications to one address and other notifications to another address — it's all or nothing.

Invoice Email

The address that customers see as the sender on every invoice reminder email Biller Genie sends. It's also the reply-to — if a customer hits reply on a reminder, this is the address that receives it. Use a real, monitored inbox here (not a no-reply address) — customers do reply, often with payment questions.

If you want emails to be sent from your own domain (so they look like they come from billing@yourcompany.com instead of through Biller Genie's envelope), you need to set up a Custom Email Domain — see Custom Email Domains in Biller Genie.

Enable Persistent Filters

When this toggle is On, the column filters and search terms you apply to grids (Invoices, Customers, Transactions, etc.) are remembered across sessions and across users on your account. When it's Off, filters reset to defaults every time you load a grid.

Turn this on if you frequently filter the same way (e.g., "always show me only Overdue invoices for Customer Type = Wholesale"). Turn it off if multiple team members share an account and each prefers to start with a clean view.

All three notifications below are sent to the address(es) in Merchant Email above.

Email Merchant Receipts

When On: every time a payment is processed (credit card, ACH, check, manual, autopay), you receive a merchant copy of the receipt. When Off: you don't.

This is an org-level setting and applies to all payments across the account. The receipt your customer gets is controlled separately — by the per-transaction "Send Receipt" checkbox at the time of payment, plus the Send Receipts flag on the individual customer's record. Email Sync Notification

When On: if Biller Genie hasn't successfully synced with your accounting software (QuickBooks Online, QuickBooks Desktop, or Xero) for a configurable number of days, you'll get an alert email. Sync failures most commonly happen when an OAuth connection has expired or the accounting software password has changed.

Configuring the threshold. The default is "alert after 3 days without a successful sync." You can change this per-integration:

  1. Make sure this toggle is set to On and Save Settings.
  2. Go to Add-Ons and select your accounting software (QuickBooks Online, QuickBooks Desktop, or Xero).
  3. Find the Last Successful Sync Notification field, set the number of days, and Save Settings.

Email Auto-Pay Failures

When On: whenever an automatic payment attempt fails (declined card, NSF on ACH, expired card, etc.), Biller Genie emails you the details so it doesn't go unnoticed. Recommended: keep this on. Failed autopay attempts that you don't notice quickly turn into past-due invoices.

Terms and Conditions

Biller Genie pre-populates three sets of Terms & Conditions that your customers see and agree to during the corresponding payment flows. You can edit any of them to match your business's policies, or click Reset next to a field to revert to the Biller Genie default.

Field When the customer sees it
Invoice Payment When paying a one-time invoice through the customer portal or via a payment link.
Auto Pay When enrolling in Auto-Pay — your customer agrees that Biller Genie can charge their stored payment method automatically when an invoice becomes due.
ACH WEB Transaction T&Cs When paying with a bank account / ACH. NACHA requires explicit authorization language for WEB-channel ACH debits — this is the field where you customize that language.

Tip. Have your legal counsel review the Invoice Payment and Auto Pay terms before customizing them — the default phrasing is general; if your industry (rentals, subscriptions, professional services) has specific terms it's worth adding them here rather than separately on every invoice.

Chrome Extension panel

If you've installed the Biller Genie Chrome Extension (which adds in-line payment buttons and invoice quick-actions in QuickBooks Online and other web tools), this panel shows its connection status and lets you toggle it on or off for your account.

  • Enable Extension issues a 90-day credential to the extension so it can authenticate calls back to Biller Genie. Required the first time you want the extension to work on a new browser or device.
  • Disable Extension immediately invalidates the extension credential. Use this if you've uninstalled the extension or if a device the extension was authorized on was lost or compromised.

A few settings that feel like they should live under Control Panel > Settings actually live in dedicated pages — quick map so you know where to look:

  • Branding (logo + brand color) — Control Panel > Branding. See Branding Setup.
  • Customer Defaults (reminder cadence, default payment terms, default invoice messenger settings) — Control Panel > Customer Defaults.
  • Invoice Defaults — Control Panel > Invoice Defaults.
  • Customer Portal welcome email + portal terms — Customers area > Customer Portal Settings.
  • Hosted Page Settings (fraud thresholds and look/feel of the public payment page) — separate Hosted Page Settings link in the menu.
  • Late Fees and Reminders — these are Add-Ons, not core settings — Add-Ons > Late Fee Manager, Add-Ons > Reminders.
  • Session timeout — not user-configurable. Biller Genie automatically signs you out after 25 minutes of inactivity in production for security reasons.

Saving changes

Each panel has its own Save Settings button. Changes are not saved until you click it for the panel you've edited. The Chrome Extension Enable/Disable buttons apply immediately on click and don't need a separate Save.
