Viewing Invoices

Navigate the Invoices grid, filter and search invoices, use Persistent Filters to remember your view, and jump to related workflows like Bulk Pay and the A/R Aging Report.

The Invoices grid is your main view for browsing, filtering, and acting on your accounts receivable. This article covers how to read the grid, the filter options that save the most time, and the related views (A/R aging, bulk payment, statements) you'll likely reach from here.

Open Invoices > All Invoices from the main menu.

What you see on the grid

Each row is one invoice. Default columns:

  • Invoice # — your reference number for the invoice (matches the number in your accounting software).
  • Customer — the customer's display name. Click to open the customer record.
  • Invoice Date — the date on the invoice.
  • Due Date — when payment is due.
  • Total — the invoice total amount.
  • Balance — the remaining unpaid amount.
  • Status — Current, X day(s) late, or Paid. (The "late" count uses Eastern Standard Time as the day boundary, not your local timezone — relevant if you're not on the East Coast.)

Filtering and searching

  • Status dropdown — narrow to Open / Overdue / Paid / Pending / All.
  • Search box — searches across invoice number, first name, last name, business name, display name, and amount. Partial matches work.
  • Column headers — click to sort ascending/descending.
  • Per-column filters — each column has a filter row beneath the header for date-range, customer-name, and amount filtering.

Persistent Filters: remembering your view between sessions

If your team always works in the same filtered slice — for example, "show me overdue invoices for Customer Type = Wholesale" — turning on Persistent Filters saves you re-applying the filters every time you load the page.

Persistent Filters is a merchant-wide toggle that lives in Control Panel > Settings > Enable Persistent Filters. When it's on, the filter state for the Invoices, Customers, and Transactions grids is remembered across page reloads and across sessions for everyone on your account. When it's off (the default), filters reset to defaults every time the grid loads.

When to turn it on: single-user accounts, or teams that always work in the same view. When to leave it off: multi-user accounts where each person prefers to start with a clean view (otherwise a teammate's filter sticks for everyone). For details on the toggle, see Configure General Settings.

Acting on invoices from the grid

Click any invoice row to open the invoice detail. From there you can process a payment, send a manual reminder, opt the invoice out of reminders, modify it, view the Invoice Timeline, or export to PDF.

Bulk paying multiple invoices for one customer

If one of your customers wants to pay several open invoices in a single transaction, you can use Bulk Pay instead of paying them one at a time. From the customer's record (or via the customer's portal), select multiple open invoices, click Bulk Pay, and process a single payment that's split across all of them.

The A/R Aging Report — drill into overdue invoices

The Invoices grid shows all your invoices in one flat list. For a buckets-by-age view (Current, 1-30, 31-60, 61-90, 90+ days late), use Reports > A/R Aging. From the aging report you can click a bucket to drill down to the invoices in that range — the equivalent of filtering the Invoices grid by Status=Overdue with an additional age filter. This is the right view when you're working a collections list.

Exporting the grid

An Export button on the grid lets you pull the current filtered view to CSV. Useful for spreadsheet analysis or sharing with your accountant. Note: the export reflects the active filters and search — it's not always the full invoice set.
