Adding CC Email Recipients on Invoices

Add one or more CC email recipients to a customer in Biller Genie — applies to all outbound mail (invoices, reminders, receipts, statements). Comma-separated, syncs with QBO/QBD.

Many customers have more than one person who should receive their invoices — an A/P contact in addition to the main contact, an accountant copied for record-keeping, a business owner copied on every reminder. Biller Genie supports this through the CC Emails field on each customer record. This article covers how to add CC recipients, what types of email they receive (and don't receive), and how the field syncs with your accounting software.

How CC Emails works in Biller Genie

Each customer has two email-related fields on their record:

  • Email — the primary email address. Used as the To: address on every email Biller Genie sends about this customer's invoices.
  • CC Emails — a comma-separated list of additional email addresses. Each one is added to the Cc: line on every email Biller Genie sends about this customer's invoices.

The list is shared across every email type — there's one CC Emails list per customer, and it applies to all outbound mail about that customer. You cannot CC different people for different email types.

What CC'd recipients receive

Every email about this customer's invoices that goes to the primary Email address ALSO goes to every address on the CC Emails list. That includes:

  • New Invoice notifications
  • Scheduled invoice Reminders (per your Reminders configuration)
  • Manually-sent invoices ("Email Invoice" action on a specific invoice)
  • Paid Invoice / customer payment receipts
  • Autopay payment receipts
  • Monthly statements (if you have Statements enabled)

How to add CC Emails on a customer

  1. Open the customer's record from Customers > All Customers.
  2. Click Edit.
  3. Find the CC Emails field below the primary Email field.
  4. Type one or more email addresses separated by commas. Example: accounting@customer.com, owner@customer.com, bookkeeper@theiraccountingfirm.com
  5. Click Update Customer.

The change takes effect on the next outbound email — there's no waiting period.

How CC Emails syncs with your accounting software

  • QuickBooks Online — the customer's Cc field syncs both directions. What you enter in Biller Genie shows up in the customer's Cc field in QBO and vice versa.
  • QuickBooks Desktop — same as QBO — the Cc field round-trips.
  • Xero — Xero's contact model handles additional emails differently; the bidirectional behavior is more limited. If you're on Xero and your CC list isn't syncing as expected, contact support@billergenie.com.

Best practices

  • Use the primary Email field for the person who actually pays. Customer Portal access and 2FA codes (when applicable) only go to the primary Email — not to CC'd recipients. The person you most want to reach should be in the primary, not the CC list.
  • Add the customer's bookkeeper or accountant when they ask. A common ask: "please include my accountant on all my invoices." That's exactly what CC Emails is for.
  • Don't put your own staff on every customer's CC list to "monitor" outbound emails. Instead, use the merchant-level Email Merchant Receipts setting in Control Panel > Settings. CC'ing your own team on every customer's reminders creates a flood of inbound mail and exposes one customer's CC list to another (cleanup gets messy when a teammate leaves).
  • Always separate addresses with a comma. Semicolons and spaces are not split as separators in this field.
  • No hard cap, but be reasonable. CC'ing more than 4-5 people on routine invoice emails feels spammy and increases the chance of one of those recipients marking the message as spam — which hurts deliverability for everyone on the account.

Can I BCC instead of CC?

No. Additional recipients are always added to Cc (visible to everyone on the email) — there is no Bcc field. If you want a private hidden copy, the right pattern is to use Email Merchant Receipts at the account level (which sends a separate, internal merchant-copy email to your Merchant Email address(es)) — see Configure General Settings.
