QuickBooks Desktop Sync Page Settings

Overview
Biller Genie provides configurable settings that allow you to control how your account syncs with QuickBooks Desktop using MagicCarpet.
To access these settings, log in to your Biller Genie account and go to Add-Ons > QuickBooks Desktop. From this page, you can review your connection status, manually run syncs, and adjust sync behavior.
Sync Status
At the top of the QuickBooks Desktop page, you will see real-time sync information:
- Latest message from MagicCarpet
- Last successful sync date and time
- Last sync result
- The QuickBooks company file currently connected
Use this section to confirm that your integration is active and syncing as expected.
Sync Settings
Automatic Syncing
Auto Sync controls whether syncs run automatically. Set to Yes for most environments. Set to No if you prefer to start syncs manually.
Auto Sync Interval sets how often an automatic sync is initiated, measured in minutes. 60 minutes or more is recommended. Shorter intervals can increase load on QuickBooks Desktop without providing additional benefit. Syncs will not run more than once per day if no changes are detected.
Sync Performance
First Sync Chunk Size controls how many records are pulled at a time during the initial sync. The default value is recommended for most users. If you experience issues with a large company file, try reducing this value by half. This setting only affects the first sync.
Delta Sync Chunk Size controls how many records are processed at a time during ongoing syncs. The default value is recommended. Reducing this value may help if QuickBooks performance issues occur during syncs.
Keep Session Open While Pushing Data controls whether MagicCarpet keeps the QuickBooks Desktop session open while pushing data. Yes is recommended for faster syncing. If QuickBooks is closed while data is being pushed and this is set to Yes, the push will not complete.
Sync History & Catch-Up
Last Successful Sync Notification sets how many days can pass without a successful sync before Biller Genie sends a notification. Use this to stay informed if syncing stops due to a server shutdown, connectivity issue, or login problem.
Time to Look Back on Sync controls how far back each sync checks for changes in QuickBooks Desktop. The default is 1 day. You can temporarily increase this up to 30 days if syncing was interrupted.
Display & Commodity Settings
Display Line Item Groups (Bundles) controls how Item Groups from QuickBooks desktop appear in Biller Genie. Set to Yes to display individual item details, or No to display only the group name. Choose the option that best fits your reporting preferences.
Default Commodity Code sets a default commodity code applied automatically when applicable. Only configure this if your business uses commodity codes.
Item Mapping

Ensure any empty mapping fields are corrected, blank Tech & Late Fees, Refunds or Sales Receipt fields will not sync back to QuickBooks.
Item Mapping allows you to connect Biller Genie system items to existing items in QuickBooks Desktop. Common examples include late fees, technology fees, and surcharges.
Keep the following in mind when mapping items:
- Only items with associated income accounts will appear as options.
- Items that are already mapped cannot be remapped.
