How to Connect MagicCarpet to QuickBooks Desktop

Overview

After installing MagicCarpet, the next step is linking it to your QuickBooks Desktop company file. Once linked, Biller Genie and QuickBooks Desktop will begin syncing data automatically. If you have not installed MagicCarpet yet, see How to Install MagicCarpet for QuickBooks Desktop.

 

Watch Out! Turn Off Invoice Notifications

If you do not disable invoice notifications, invoices previously paid from QuickBooks could be delivered to your customers.

  1. In your Biller Genie account, go to Control Panel.
  2. Select Invoice Defaults.
  3. Turn off Send Paid Reminder for Invoices Closed In Accounting Software.
    You can re-enable this setting after the sync is complete.
 

 

Copy the Unique Linking Code

  1. Go to Add-Ons
  2. Select QuickBooks Desktop – MagicCarpet
  3. Locate the Link App To Biller Genie section
  4. Copy the Unique Linking Code

 

  1. Open MagicCarpet.
  2. Paste the linking code into the connection field.
  3. Click Link.

 

Prepare QuickBooks Desktop

Warning!

If you have multiple QuickBooks Online company files, selecting the incorrect file will sync unwanted data into your Biller Genie account.

 

 

  1. Open QuickBooks Desktop.
  2. Sign in as the Admin user.
  3. Switch to Single User Mode.
  4. Ensure only the company file you want to sync is open.

 

Connect to QuickBooks

  1. Click Connect to QuickBooks within MagicCarpet.
  2. A QuickBooks security certificate window will appear.
  3. Select Yes, always allow access even if QuickBooks is not running.
  4. Choose Admin from the user dropdown.
  5. Click Continue.
  6. Click Yes to confirm.
 

Once the Connection Is Approved

The first sync will begin automatically.

  1. Do not close QuickBooks Desktop or MagicCarpet during this sync
  2. Wait for the sync to fully complete

Once the sync finishes, you will see a “Sync Ended Successfully” message in your Biller Genie account.

To confirm this:

  1. Within your Biller Genie account go to Add-Ons
  2. Select QuickBooks Desktop – MagicCarpet
  3. Locate the Last Sync Result field

This confirms that your Biller Genie account is successfully syncing with QuickBooks Desktop.
