When you upgrade QuickBooks Desktop to a newer version (for example, from QBD 2021 to QBD 2024), Biller Genie's existing connection token is tied to the old company file. You need to generate a new token against the upgraded file so syncs continue to work.
Before you start
- Log into QuickBooks Desktop as an Admin user.
- Open QuickBooks Desktop in single-user mode (File > Switch to Single-user Mode).
- Make sure no other Biller Genie sync is running.
Step 1 — Remove the old connection
If you have older versions of QuickBooks Desktop still installed on the same machine, uninstall them OR at minimum stop their sync services. Multiple QBD versions trying to connect at the same time will cause sync conflicts.
Step 2 — Generate a new token from Biller Genie
Open the Biller Genie Merchant Portal, navigate to your QuickBooks Desktop integration settings, and follow the prompts to generate a new connection token. The exact steps depend on which sync tool you use (legacy QBD sync vs MagicCarpet). See How to Connect MagicCarpet to QuickBooks Desktop for the MagicCarpet flow.
Step 3 — Validate the connection
Once the new token is in place, run a sync to confirm Biller Genie can read the upgraded company file. Spot-check that recent invoices and payments are syncing correctly.
If something goes wrong
See MagicCarpet Sync Troubleshooting for QuickBooks Desktop for common errors. If those steps do not solve it, contact support@billergenie.com with your QBD version, the sync tool you are using, and the error message you are seeing.
