Most QuickBooks Desktop syncs end with Sync ended successfully. Sometimes a sync finishes, but one or more of its steps has a problem. When that happens, Biller Genie now tells you, so you know some items may not have reached QuickBooks yet. This article explains what the message means, where you see it, why it happens and what to do.
The three ways a sync can end
- Sync ended successfully: everything in the sync reached QuickBooks.
- Sync completed successfully with warnings: the sync finished, but one or more steps had a problem. Some items may not have reached QuickBooks yet. Your next sync tries most of them again.
- An error message: the sync did not finish. Last Sync Result shows the error. See MagicCarpet Sync Troubleshooting for QuickBooks Desktop.
Where you see it
- Last Sync Result, in the Status panel at Add-Ons > QuickBooks Desktop: "Sync completed successfully with warnings".
- Latest Message From Biller Genie, in the same panel, when the sync ends: "Sync completed with warnings. Some items may not have synced to QuickBooks."
- The sync info icon at the top of the portal: "Last Sync Status: Sync completed successfully with warnings".
- Dashboard ToDo Messages: a to-do titled "QuickBooks sync completed with warnings" that reads "Your last QuickBooks sync completed with warnings. Some items may not have synced. Please review or contact Support if this persists."
What it does not mean
- Your connection is not broken. Successfully Synced Up To Date still updates, and your next scheduled sync runs on time.
- You get one to-do, not one per sync. If later syncs also have warnings, Biller Genie reuses the same to-do instead of adding new ones.
- There is no email. The to-do on your Dashboard is the alert. Because the sync counts as successful, it also does not trigger the Last Successful Sync Notification email.
Common causes
- An item or account that Biller Genie uses in QuickBooks was deleted, renamed or made inactive, and Biller Genie could not restore it. These include the items and accounts for tips, late fees, technology fees, surcharges, refunds, returned payments and third-party transactions.
- QuickBooks rejected a customer, fee or payment that Biller Genie tried to add or update.
- Biller Genie could not check one of its accounts, such as Undeposited Funds or, if you use Automatic Batch Reconciliation, your settlement accounts.
- A chargeback or returned ACH payment entry could not be posted.
- The sync had to stop early after several tries. Most of the rest catches up on your next sync.
What to do
- Don't worry about a single warning. The sync finished, and your next sync tries most missed items again. Two kinds of items stop retrying on their own: late fees after 7 days, and chargeback or returned ACH payment entries after 30 days. If a warning keeps coming back, contact Subscriber Success so nothing is left out of QuickBooks.
- Run another sync. Make sure QuickBooks Desktop is open in single-user mode with no pop-up windows, then click Sync on the QuickBooks Desktop add-on page.
- Look for specifics. Check your other ToDo Messages, Payment Sync History and the Outbound Sync Queue for anything that names a customer, payment or fee. See Payment Sync Queue and History.
- Undo recent changes in QuickBooks. If you recently deleted, renamed or made inactive an item or account that Biller Genie created, restore it and run another sync.
- Contact Subscriber Success if the warning comes back over several syncs in a row, or if a payment, fee or tip is missing from QuickBooks. Email subscribersuccess@billergenie.com and include the date and time of the sync.
When the to-do goes away
The to-do clears by itself after your next sync that finishes with no warnings. You can also dismiss it. If a later sync has warnings again, the same to-do comes back.
